Position Title: Vendor Management Executive

The Vendor Management Executive is responsible for managing third party relationships according to our vendor management policy, and assures compliance to IT standards of business practices to minimize risk to the company. This highly visible position is involved in developing and maintaining all vendor contracts, including rate renewals, term changes, discounts and compliance to contract terms. This position oversees vendor audits, communicates vendor status, contract terms and rates to IT management, and keeps vendors apprised of policy changes. This role is responsible for the resource requisition process for IT and insures process compliance for IT and vendors. This position works closely with the Legal and Procurement departments, as well as vendor executives, in developing and managing contractual commitments, and in resolving disputes. This role supports the senior IT executives in adding new vendors, defining Service Levels and ensuring vendor contracts remain current.


Responsibilities to include, but not limited to:

Develop policies and processes for contract renewals, contract management, vendor relationships and vendor performance management. Assess cost effectiveness of vendor provided services, and liaise with Procurement and Legal departments, as well as other corporate divisions, in establishing cost effective agreements and IT governance practices. Maintain regularly scheduled communication and contract reviews with significant vendors IT conducts business with.

Act as a single point of contact for IT vendors providing services to IT, including relationship management with large consulting firms. Interface with the appropriate level executives from vendor companies regarding engagement practices, rates, discounts and terms. Leads the development of RFPs, contracts and contract renewals in conjunction with Legal and Procurement. Recommends final candidates for the select vendor list. Insure NDAs and MSAs are in place. Maintain the contact list for key vendors as well as a database of performance issues and complaints.

Work closely with IT Management, Legal, Finance and other stakeholders to lead, educate and manage the contract and vendor management processes. Establish regularly scheduled process and policy reviews with all vendors. Conduct policy and process compliance audits on internal staff and vendors, and recommends changes to policies and processes to accommodate changes in business requirements.

Develop with IT Executives, and corporate sponsors (Legal, Procurement, Finance), dashboard reports to reflect expenditures by vendor, service performance and vendor satisfaction. Oversee the escalation process and manage to conclusion vendor disputes in conjunction with internal IT staff, Legal, Procurement and AP.

Manage the resource requisitioning process. Insure internal personnel and vendors are trained in the process and tools. Evaluate cost effective sourcing strategies. Report requisitioning statistics and process compliance to the IT Executive team.
Qualifications/Skills

Basic Qualifications:

* BS Accounting or Computer Science

* Masters in Business Administration a plus

Desired Experience:

* Previous experience in a Vendor Management Office

* Vendor management experience in an outsourced IT environment

* Sourcing management

* Knowledge of IT Project Management and System Life Cycle Methodologies

* Internal financial, vendor management, consulting experience

* Outsourced vendor performance management from a systems performance perspective

* IT vendor incident management experience

* Internal/ external audit experience

Desired Technical Skills:

* 2 - 4 plus years direct experience in vendor management

* Direct experience managing major IT outsourced vendors a plus

* Strong verbal and written communication skills are required as well as the ability to interact effectively with all levels of management internally and externally

* Ability to quickly assess situations, define problems, collect data and make recommendations

* Ability to lead change and raise awareness of policies and processes internally and externally

* Ability to respond to sourcing needs quickly and adapt processes
